Identity Theft Postmortem Meeting
Minutes of Planning Meeting 2006-MAR-07 held at the new IRC Office, 6 pm to 8 pm

There were three segments of the meeting.
A. What went right
B. What went wrong
C. Suggestions for the Future

A. What went right

  1. Good food and came on time
  2. Presentations were good and informative
  3. asking questions in between different speakers gave opportunity for speakers to understand what level is audience at
  4. Kits were ready before the event started
  5. People gathers around the speakers to ask questions at the end (sign of successful event)
  6. People came up to the speaker to ask questions. Good for recording.
  7. Event was started on time
  8. Best SIP event ever

B. What went wrong

  1. The room got hot at times
  2. Asking question, microphone, and the way they had to face awkwardly.
  3. Raffle was done late
  4. On Pre-paid MLM left brochures
  5. No book was sold
  6. Some people came through other door.
  7. Too many speakers.

B. Suggestions for Improvements

Before the Event & Promotions
 

  1. Specify in the invitation to use doors at west entrance?
  2. Print SIP Volunteer instead of just volunteer. This is to clear state the we are SIP volunteers and not Estonian houses' – “Ask me” ribbon on neck, on the name tag
  3. go to career centres & advertise as networking event to attract more people to attend event.
  4. Anna will help to search for volunteers. She is aware of some website meetup.com.
  5. Get the presenters to send you a copy of their presentation beforehand and make sure they know the time limit they have.
  6. Tell them a special ‘code' that you will do if they are 5 minutes over their time. So they will wrap up their presentation.
  7. Get private and community colleges to get students, to promote.
  8. Go to career resource centers to post the event.  

Registration Time & Networking

  1. Food should be labeled (vegetable Samosas) or announce it.
  2. One volunteer should be responsible to look after the temperature and food
  3. Closing other doors: Next time we must seal the doors with yellow danger tape, because people keep coming in through them. Post sign on them 'Please do not enter here'. Post signs at the doors to ask people to enter from West entrance;
  4. have a greeter to greet people at the door; have more than one greeter
  5. Don't let people advertise their business or distribute business cards unless they have paid. Have all volunteers watch out
  6. Book sale; post a sign where the books were stating Books for Sale ; have a volunteer at the book table
  7. stop half way the event and ask people to drop their business cards to win prize .
  8. Draw raffled at the same time (half way)
  9. Only do 30 minutes of networking at the beginning instead of 45 minutes (to better accommodate the 15 min. break).
  10. Maybe have some music that can be played during the networking times and break time – it could liven the mood. Nothing very loud, just some background music. Maybe near the food.
  11. Do business card raffle to create a buzz.

  Presentations

  1. When the person comes to ask question, he should be facing the audience
  2. Have a coffee break in between speeches.
  3. Tell speakers that they have 10 minutes less that the actual allowed time, for example if they will be allowed 25 minutes, tells them that they have 15 minutes.
  4. Have a break part way through for 15 minutes. Encourage people to buy raffle tickets at this time.
  5. Do not go more than three speakers.

  After Presentation -Networking and Raffle

  1. Have a free draws for Evaluation forms
  2. Don't let people advertise their business or distribute business cards unless they have paid. Have all volunteers watch out
  3. Book sale; post a sign where the books were stating Books for Sale ; have a volunteer at the book table
  4. stop half way the event and ask people to drop their business cards to win prize .
  5. Draw raffled at the same time (half way).
  6. If you have something to give out as people are leaving –like the ID Theft kits – maybe move those tables you have outside of the room to face the door. So people will have to look at you when they leave. You were at the side of the door, so people were just walking by and leaving without looking back.
